Invoice Reports allow you to gain insights into your firm as well as analyze and uncover important metrics from your invoices in Docketwise.

Creating an Invoice Report

To run an invoice report, you will need to follow the steps below:

  1. From the Docketwise dashboard, click the Create New ▼ button

  2. Choose the Report option

  3. Choose the Invoice category

  4. Choose the specific invoice report that you would like to create

Applying Filters to Invoice Reports

Once you have created/run a new report, you can get started with adding filters to your report. The filters available will depend on the specific report that is being run.

In order to use a filter, simply select the filters that you would like to apply and click the Update button.

Adding Custom Columns to Invoice Reports

In order to start customizing your Reports, you will first need to:

  • Navigate to the Report Type that you would like to customize

  • Click the ⚙️ Gear Icon

After clicking on the ⚙️ Gear Icon, you can then edit your Dashboard's columns by

  • Adding columns

  • Removing columns

  • Reordering columns

Adding Columns in Invoice Reports

To add a column to a report, simply click the Checkbox for the column from the options under Available Columns and save your changes.

Removing Columns in Invoice Reports

To remove a column from the Dashboard, simply unclick the Checkbox for the column from the options under Selected Columns and save your changes.

Reordering Columns in Invoice Reports

To reorder your columns for the Dashboard, simply drag and drop the column values under Selected Columns and save your changes.

Exporting an Invoice Report to a CSV File

After you have created an invoice report, you are able to export it to a CSV file, which can then be saved.

In order to export the report, you will simply click the Export button, which will download the report to a CSV file.

Types of Invoice Reports

Depending on how you would like the information to be presented in the Invoice Report, there are various reports that you are able to run on invoices in Docketwise.

Invoices Over Time

The Invoices Over Time report displays data related to invoices created over time on your Docketwise account.

  • Displaying Data From: Invoices

  • Results Organized By: Displayed in reverse-chronological order

Available Columns:

  • Client: The contact associated with the invoice

  • Type:

    • Bill: Bill is the selected invoice type (payments received will be deposited into an operating account)

    • Trust Request: Trust Request is the selected invoice type (payments received will be deposited into a trust account)

  • Matters: The matter(s) associated with the invoice

  • Issued: The issued date of the invoice

  • Due Date: The specified due date of the invoice

  • Total: The total amount being billed

  • Balance: The remaining balance

  • Description: The invoice's description

    • Note: This can only be added on trust request invoices

  • Discount Amount: The dollar amount of any dollar amount discount

  • Discount Amount Description: The description of any dollar amount discount

  • Discount Percent: The percentage of any percentage-based discount

  • Discount Percent Description: The description of any percentage-based discount

  • Footer: The footer text included in the invoice

  • Has Discount Amount:

    • True: A dollar amount is included

    • False: A dollar amount is not included

  • Has Discount Percent:

    • True: A percentage-based discount is included

    • False: A percentage-based discount is included

  • Invoice Number: The invoice number of the invoices

  • Last Reminder: The date that the last invoice reminder was sent

  • Reminder Frequency: The frequency at which the invoice reminder is sent (in days)

  • Send Reminders:

    • True: Invoice reminders are still being sent

    • False: Invoice reminders are not being sent

  • Status:

    • Unpaid: The invoice still has an outstanding balance

    • Paid: The invoice does not have an outstanding balance

  • Trust Level: (Only applicable to trust requests, not bills)

    • Client level: Funds are being requested in trust at the client-level

    • Matter level: Funds are being requested in trust at the matter-level

  • Trust Request Amount: The dollar amount of a trust request

  • Updated: The date at which the invoice was last updated

  • Payment Plan Status:

    • Active: The invoice currently is on an active payment plan

    • Not Active: The invoice is not currently on a payment plan

  • Overdue Balance:

    • If the invoice's Payment Plan Status is Not Active, this is the outstanding balance after the invoice has reached its due date

    • If the invoice's Payment Plan Status is Active, this is the amount that is expected to be paid by the current date but has not been received

  • Payment Plan Frequency: The frequency at which the scheduled payments are to be processed for an invoice on a payment plan

  • Installment Amount: The amount to be billed each interval of the scheduled payments will be processed for an invoice on a payment plan

Filters Available:

  • Payment Status:

    • Paid: The entire balance of the invoice has been paid

    • Unpaid: The invoice's entire balance is yet to be paid

  • Invoice Type:

    • Bill: Bill is the selected invoice type (payments received will be deposited into an operating account)

    • Trust Request: Trust Request is the selected invoice type (payments received will be deposited into a trust account)

  • Date Created: The date on which the invoice was created

  • Date Paid: The most recent date on which a payment has been made towards the invoice

  • Due Date: The specified due date of the invoice

  • Late Status:

    • Late: The invoice's Overdue Balance is greater than $0.00

    • On Time: The invoice does not have an Overdue balance

  • Payment Plan Status:

    • Active: The invoice currently is on an active payment plan

    • Not Active: The invoice is not currently on a payment plan

Invoices Over Time (Payment Plans)

The Invoices Over Time (Payment Plans) report displays data related to invoices with an active payment plan created over time on your Docketwise account. Please note that only invoices created after 09/09/2022 will be displayed on this report.

  • Displaying Data From: Invoices

  • Results Organized By: Displayed in reverse-chronological order

  • Available Columns: All columns available in the Invoices Over Time report

  • Filters Available: All filters available in the Invoices Over Time report (excluding Payment Plan status)

Invoices by Client

The Invoices by Client report displays data related to invoices created on your Docketwise account and is broken down by the contact associated.

  • Displaying Data From: Invoices

  • Results Organized By: Grouped by contact

  • Available Columns: All columns available in the Invoices Over Time report

  • Filters Available: All filters available in the Invoices Over Time report

The Invoices by Matter report displays data related to invoices created on your Docketwise account and is broken down by the matter associated.

Due Invoices by Client

The Due Invoices by Client report displays data related to due and overdue invoices created on your Docketwise account and is broken down by the contact associated.

  • Displaying Data From: Due and Overdue Invoices

  • Results Organized By: Grouped by contact

  • Available Columns: All columns available in the Invoices Over Time report

  • Filters Available: All filters available in the Invoices Over Time report

Due Invoices by Matter

The Due Invoices by Matter report displays data related to due and overdue invoices created on your Docketwise account and is broken down by the matter associated.

  • Displaying Data From: Due and Overdue Invoices

  • Results Organized By: Grouped by matter

  • Available Columns: All columns available in the Invoices Over Time report

  • Filters Available: All filters available in the Invoices Over Time report

Invoice Charges Over Time

The Invoice Charges Over Time report displays invoice charges (Services/Expenses) created over time on your Docketwise account.

  • Displaying Data From: Charges from invoices

  • Results Organized By: Displayed in reverse-chronological order

Available Columns:

  • Description: The description of the invoice charge

  • Amount: The amount of the invoice charge

  • Type:

    • Service

    • Expense

  • Invoice number: The invoice number of the associated invoice

  • Client: The contact listed on the associated invoice

  • Date Created: The date the invoice charge was created

Filters Available:

  • Date Created: The date the invoice charge was created

  • Type:

    • Service

    • Expense
