Accessing & Using Your Portal as a Client

Overview

Your client portal serves as a secure and central place to communicate with your firm/organization, complete tasks, complete your electronic questionnaire, check USCIS receipt case tracking status, view/pay invoices, and upload/download files related to your immigration case.

This article serves as comprehensive a guide for clients using the Docketwise Client Portal, that guides you through each step involved in using the client portal.

Accessing Your Client Portal

Below, you can find some more information on getting started, logging in to your client portal, setting up two-factor authentication, and how to reset your password.

Getting Started

To get started, you will need to receive an invitation to your secure client portal and follow the steps below:

  1. In the portal invitation email (titled "Confirm your email and set password" and sent by no-reply@notifications.docketwise.com), click the Setup My Account button

  2. Enter and confirm a strong and secure password that will be used to log in to your account

  3. Click the Create Account button


Logging In

Logging back into your portal is easy! In order to log back into your client portal, you will need to follow the steps below:

  1. Enter your email and password

  2. Click the Login button

  3. Enter the secure login code (only if two-factor authentication is enabled)

Note: If two-factor authentication is enabled, you will also need to complete the two-factor authentication workflow to complete the login process by entering the secure login code.


Setting Up Two-Factor Authentication

If two-factor authentication is enabled for your client portal, you will have an additional login step to access your client portal. If logging in for the first time with two-factor authentication enabled, you will need to complete the following steps:

  1. Open the authenticator app of your choice on your mobile device

  2. Select the option to add a new app

  3. Scan the QR code from the portal login workflow

  4. Click the Continue button

  5. Enter the OTP Code from your authenticator app

  6. Click the Authenticate button

After setting this up, you will be logged in to your account. Additionally, you will need to use the secure OTP login code as a part of your login workflow.

Note: If two-factor authentication is not enabled for your client portal account, please contact whoever is working on your matter to have this enabled.


Resetting Your Password

If you have forgotten your password, you can reset it by following the steps below:

  1. Click the Reset Password button

  2. Enter the email address associated with your client portal

  3. Click the Send button

  4. In the password reset email (titled "Reset password instructions" and sent by no-reply@notifications.docketwise.com), click the Change my password button

  5. Enter and confirm a strong and secure password that will be used to log in to your account


Navigating the Client Portal

When logging in to your client portal, you will be taken to the client portal Dashboard.

From the Dashboard, you can see a summary of your Tasks, Forms, USCIS Receipts, Invoices, and Files. These summaries will show a few of each resource, but to see an exhaustive list of what has been shared, you can click on the See All option or the option in the side navbar.


Secure Portal Messaging

Secure portal messaging allows you to communicate safely and conveniently with your firm/organization from within your client portal.

Accessing Your Messages

After you are sent a secure portal message, you will receive an email notification, prompting you to log in to read the message:

In order to access and read your secure portal messages, you will need to follow the steps below after logging in:

  1. Click on the Messages option in the side navbar

  2. Click the Read button for the message you wish to access and read


Replying to a Secure Message

In order to reply to a secure portal message, you will need to follow the steps below:

  1. Click on the Messages option in the side navbar

  2. Click the Read button for the message you wish to access and read

  3. Click the Reply button

  4. Enter your message

  5. Click the Send button


Starting a New Secure Message Conversation

To start a new conversation or secure message thread via the client portal, you will need to follow the steps below:

  1. Click on the Messages option in the side navbar

  2. Click the Create New Conversation button

  3. Enter the Title and Body/Content of your message

  4. Click the Send button


Viewing and Completing Tasks

You can see a summary of a few tasks that have been assigned to you on your client portal dashboard. To view all tasks that have been assigned to you, you can either click See All in the Tasks card or click Tasks in the side navbar.

To complete a task, simply click the checkbox beside the task that you want to have reflected as completed.


Completing Your Electronic Questionnaire/Form

You can see a summary of a few forms/questionnaires that have been shared with you on your client portal dashboard. To view all forms/questionnaires that have been assigned to you, you can either click See All in the Forms card or click Forms in the side navbar.

To access a questionnaire, simply click the ✏️ icon next to the questionnaire you would like to open.


Viewing USCIS Receipt Tracking Status

You can see a summary of USCIS Receipt Tracking Statuses that have been shared with you on your client portal dashboard. To view all USCIS Receipt Tracking Statuses that have been shared with you, you can either click See All in the USCIS Receipts card or click Receipts in the side navbar.

From there, you can see up-to-date information on your USCIS Case Status directly in your client portal.

If you wish to see the case status directly on the USCIS website, simply click on the status text in blue.


Viewing and Paying Invoices

You can see a summary of invoices that have been shared with you on your client portal dashboard. To view all invoices that have been shared with you, you can either click See All in the Invoices card or click Invoices in the side navbar.

To download an invoice, you can click on the ⬇️ icon next to the invoice.

If there is a Pay button, you can also pay the invoice online via credit card or eCheck. To do so, simply click on the Pay button and fill out your information on the secure payment form.


Uploading and Downloading Files

You can see a summary of files that have been shared with you on your client portal dashboard. To view all files/folders that have been shared with you, you can either click See All in the Files card or click Files in the side navbar.

Uploading Files

In order to upload a file via the client portal, you will need to follow the steps below:

  1. Click See All in the Files card or click Files in the side navbar

  2. If you would like to upload to a specific folder, open/navigate to that specific folder

  3. Click on the Upload Files button

  4. Choose the file(s) you wish to upload

  5. Click the Upload button


Moving Uploaded Files

If you wish to move the folder location of a file that you uploaded via the client portal, you will need to follow the steps below:

Moving one file:

  1. Click See All in the Files card or click Files in the side navbar

  2. Click the ✥ icon next to the file you would like to move

  3. Inside the modal, open the location where you wish to move the file

  4. Click the Move button

Moving multiple files:

  1. Click See All in the Files card or click Files in the side navbar

  2. Check the box beside the files you wish to move

  3. Click the ✥ Move Files button

  4. Inside the modal, open the location where you wish to move the file

  5. Click the Move button


Downloading Files

Files that you have shared as well as files that have been shared with you can easily be downloaded.

To download a file, you can click on the ⬇️ icon next to the file.
